What we changed

  • we created email templates so that Proc Ops team members can easily access them within the CMS

  • we created functionality for Proc Ops managers to create and manage new templates for Proc Ops team members

Why we changed this

The Proc Ops team use the email function within the CMS to respond to requests for support. Responding to queries takes time and often responses are copied from a shared drive and pasted into the email. This process is clunky and laborious, and having a set of standardised responses will save time and provide consistency.

How it works

  • when creating or responding to an email message, the Proc Ops team member may choose to create an email from a template with a standardised response or from a template with just a signature and disclaimer
  • templates are categorised into groups, subgroups and by procurement stage
  • a preview of each template can be viewed upfront before selecting

Proc Ops managers can:

  • create new templates for a template group
  • edit them as and when needed
  • group them in a manageable way so that the team can easily find the right template to use
  • delete them when no longer needed (this will be a soft-delete as emails may have used the template and therefore be linked to it)
