Once the School Places Analysis (SPA) team uploads data to the Free School Store (FSS), this creates a project record for that school. Different users need to access that record for different reasons, so we wanted to give users what they need as quickly as possible.
Projects list
We created a design to present all records in a project list. We looked at other products used by delivery officers for inspiration, including Prepare conversions and transfers and Complete conversions, transfers and changes.
We decided to present projects in a table view. This felt like a good user experience, as it minimised the amount of white space on-screen and maximised the amount of information we could display to users. They can click into each project for more information or to manage the project if they're a regional delivery officer.
Positive feedback
Looks good. Nice to see the projects straightaway as well - School Places Analysis (SPA) team member
My projects section is really good - regional team lead
Nothing is missing, really good - regional team lead
Constructive feedback
- Lead applicant is incorrect. It should be Trust
- SPA team don't find delivery officer useful
- Opening date is not useful. Replace with Realistic opening date
- Status labels are incorrect. Replace labels with actual status labels from FSS
- Regions could be more useful than local authority
- Need a search box to search for projects by project ID or school name
Iterating the design
We observed that SPA users did not want to see the delivery officer column, but regional team leads did.
To make the project list useful to different user groups, we created custom project lists for these groups whilst addressing the constructive feedback we received.
SPA projects list
A list of projects called All projects. It includes a button called Create projects.
- the SPA projects list shows all free school store projects
- allows SPA users to create or upload projects
- we removed the delivery officer column
Regional delivery officer projects list
A list of projects called Your projects. It has 3 projects in it.
- the regional delivery officer projects list has Your projects and All projects tabs. This is consistent with other Regional Services Division products, like Complete conversions, transfers and changes
- there are several projects in My projects to reflect the delivery officer (DO's) workload
- DOs cannot create projects as this is the SPA team's responsibility
Regional team lead projects list
A list of projects called Your projects. It has one project in it.
- the regional team lead projects list also has Your projects and All projects tabs
- it includes less Your projects than the delivery officer (DO) view because team leaders may manage some projects, but less than DOs
- team leads cannot create projects, as this is the SPA team's responsibility
Next steps
We'll test the iterated designs with SPA and regional colleagues.
