Overview
Resources allow school business professionals using DfE Connect to access guidance and support pages that are linked via tasks.
We designed for superusers to create and edit resources, which can be added to a subtask, task and team information.
Adding resources to subtasks, tasks and teams
On the create a subtask page, resources can be added to a subtask via the ’Link’ section. Users can type into the autocomplete search box and then select the resource they would like to add.
On the create a task page, resources can be added to a task via the Guidance and support section. It is worth noting that only resources that have an active status are selectable from the autocomplete search component.
Resources for a task can also be reordered using the same component as related tasks. The functionality is the same, giving colleagues more control over their tasks and how resources are displayed in the Guidance and support section on DfE Connect.
Resources can also be added to a team and is named Digital service link.
Resources landing page
The resources landing page: • allows users to view all of the resources uploaded onto DfE Connect • shows the type, status and the team responsible for the resource • show status of resources, allowing users to see whether the resource has been withdrawn or decommissioned • should enable users to search for and filter resources from this page (non-MVP for now)
View a resource
Selecting a resource name on the resources list will take the user to the view resource screen for the guidance or service. Users can see the status of the resource using a colour-coded tag component as well as the resource details in the summary card component which is a similar pattern used on other pages across Manage your DfE Connect data. The user has the option to edit the resource. In the future, users should also be able to view a resource audit trail history (non-MVP for now).
Adding a digital resource
When selecting to Add a resource from the resources landing page, users define the type of resource. After some research, the two types of digital resource that became apparent were either Guidance or Service. The naming of the service type was what prompted us to question whether to rename services, as in a group that tasks belong to, should be renamed to Teams.
The user must select whichever type their resource is, assisted by the hint text describing each type in case a user is unfamiliar with our definitions of type.
Add guidance resource
A user selects the guidance type and selects continue, where they are brought to add guidance screen. Users are prompted to enter the guidance details including name, link, team, guidance type, when the guidance was last updated (optional) and the guidance status aligned to gov.uk. After continuing, the user is shown a check answers page and after confirming the resource is added to the resources list.
Add service resource
The add service journey is presented when a user has selected ‘Service’ as the resource type. The difference between service and guidance page is that the type and last updated date have been removed as they are not applicable to service resources. The journey is the same as the guidance type resource, moving to check answers and confirmation.
What's next?
The resources section is being developed and should be released for superusers in February 2025, with further iterations being released later (e.g. search, filters, audit trails). Resources has been a complex scope of work to design for with different requirements for tasks, subtasks and teams. We will ensure to iteratively improve the design based on feedback and regularly assess if updates are required.
