Background

Creating a teacher record is a key support task carried out by TRS console users.

They typically do this when the person who the record is being created for:

We needed to design journeys that allow users to create a record quickly and simply.

Manually creating a record

To manually create a record, the user navigates to the ‘Create a record’ page via the tab in the Records section of the service.

The user clicks ‘Add a record’ then enters the person’s:

  • name
  • date of birth
  • email address
  • National Insurance number
  • sex

The user must also select the reason for creating the record. The options are:

  • the person was awarded a mandatory qualification
  • the person received an alert
  • the person started university late
  • another reason (selecting this reveals a free text box)

There is also the option to upload evidence of why the user is creating the record.

We considered having the reason and upload sections on a separate page but decided to keep it on one page for now.

However, we hypothesised that keeping them on a single page would save time and maintain context for users performing repetitive tasks.

Creating a record generates a TRN. We show this in the person’s details in the ‘Personal details’ tab with a notification banner saying the record was successfully created.

User testing

We did not test this journey with users as it’s simple, low risk and uses established patterns we’ve used elsewhere in the service.

Also, given time constraints, we prioritised testing more complex, higher-risk journeys such as resolving potential duplicate records.
