Prepare your trust template task

During a conversion project, a delivery officer needs to prepare a document known as a trust template.

This document contains information about the trust the school will join once it becomes an academy.

The advisory board use this information to assess if the trust is a good fit for the new academy and make their recommendation about whether the conversion should go ahead.

At the moment, the content in the task tells users to complete this work to generate and prepare the trust template in KIM.

They must also work in a Microsoft Word document to create the trust template.

Making changes

As KIM will no longer be able to process new projects from April 2024, we need to make sure users are able to do this work in another way and that the task explains how they do this.

We carried out desk research to understand what they do to complete the trust template. Then we sketched an initial version of the task that represented these steps.

Condensing the guidance

We shared the initial draft with our subject matter expert to understand how clear and useful it was.

The feedback was that while the content described the right steps, there was too much information to read.

We then created a version to cut the content right back to the bare bones, and laid out the steps the users needs to tak in a numbered list.

Future iterations

This is the minimum, essential work that we need to do to make this task possible to complete without KIM.

We think a more interactive task that enables users to enter the information they need to include about the trust directly into Prepare conversions and transfers will help them most in the future.

This would remove the need to use a Word document template at all.

We need to carry out more research with the people who create the trust template and the people who use the trust template to understand their needs.
